Before even listing the unit for rent, we will carefully evaluate your rental property. We will pay particular attention to maintenance concerns, safety issues and code compliance. We will examine all of the existing lease agreements and look for ways to increase your cash flow. We will then meet with you to discuss a management plan and how to initiate income increases and expense reductions.
GET THE UNIT READY
When a unit becomes vacant, our management team will assess the condition of the unit. All repairs will be completed prior to renting the unit. Any damage caused by the prior tenant will be handled according to the terms in the lease agreement. Each unit is thoroughly cleaned by our team prior to leasing.
ADVERTISE THE RENTAL
Our property management firm utilizes the most effective advertising methods to locate a quality tenant. We know the value of internet listings along with visible signage and printed advertisements. Our advertising techniques reduce vacancies and increase public response.
SCREEN PROSPECTIVE RESIDENTS
Our priority is to protect your investment. This means that we may not approve the first eager renter that applies. All prospective tenants are carefully screened in order to protect your cash flow and your property.
SELECT THE BEST RESIDENT
We have established a set of non-negotiable tenant qualifications and credit requirements to ensure that we only place quality tenants. We carefully review all credit applications. We also complete a background check on all applicants, including calling references and prior landlords.
PERFORM MOVE-IN INSPECTION
Once a tenant is approved, we will help the tenant to complete a move-in inspection. This will document the actual condition of the unit upon move-in. Our documentation includes photographic proof and signed inspection forms. This allows us to address any concerns of the tenant.
EXECUTE AND FILE LEASE DOCUMENTS
We have retained the services of an attorney to write our lease agreements. All lease agreements abide by California law and are carefully written to protect the financial interests of the landlord. We go over the lease with the tenant so that they know exactly what is required. We make sure the leases are properly executed and preserved.
MONITOR MOVE-IN PROCESS
Once a tenant is approved, we monitor the move-in process. We want to encourage communication with the tenants and assure them that any issues will be resolved as quickly as possible.

ELECTRONIC RENT COLLECTION
We have found that collecting rent electronically – either through direct deposits, automatic deductions or online payment systems – is an effective way to encourage tenants to pay their rent on time. Our system is secure and protected. The records are available to the property owner at any time upon request.
REPRESENT OWNER IN RESIDENT ISSUES AND REQUESTS
CONFIRM ALL REPAIRS ARE COMPLETED
There is more to managing a rental property than simply completing a repair. We look at this as an opportunity to build tenant trust and satisfaction. We follow up with all repairs to make sure that the tenant was completely happy with how it was handled. When tenants know they are cared for, they are much less likely to leave and it thus preserves an owner’s income stream.
E-TRANSFER FUNDS TO OWNERS
Electronic rent collection allows us to quickly transfer funds to property owners electronically as well. Instead of waiting for a check and then waiting for it the clear, we can make your funds available to you on the same day each and every month.
OBTAIN OWNER APPROVAL FOR COSTS ABOVE $500
While we will work hard to manage all of the day-to-day concerns, we also realize that property owners will want to have a say when it comes to higher-than-average expenses, repairs or capital improvement projects. We will provide several estimates and recommendations if a repair will exceed $500.
INSPECT UNIT 90 DAYS AFTER OCCUPANCY
One way we ensure that all tenants maintain the units to our high standards is with a 90-day inspection after move-in. We will bring along the Move-In inspection sheet to make sure there is no damage to the unit. We will address any concerns to ensure a high level of tenant satisfaction.
COORDINATE REPAIRS WITH EMERGENCY SERVICES
Emergency repairs need to be coordinated immediately with the correct maintenance personal or emergency services. Our aim is to restore tenant habitation as quickly as possible and to protect the owner’s investment. The property owner will be notified of any substantial emergency situations.
NEGOTIATE WITH VENDORS
All of our vendors are carefully selected and undergo periodic reviews. Routine maintenance that needs to be performed by non-staffed licensed professionals are approved on a bid basis. While price is a concern, we here at Vision Property Management will ensure that each vendor provides high quality work that adds value to an owner’s investment.
PERFORM MOVE-OUT INSPECTIONS
In the event that a tenant vacates the unit, a move-out inspection is always completed. This inspection is carefully compared to the move-in inspection and any tenant-inflicted damage will be billed to the tenant. Any additional maintenance and/or repairs are also scheduled and performed as quickly as possible to ensure a quick turn-over.
Property Management Billing and Accounting
Our accounting team uses professional property management accounting software that tracts every cent that passes in or out of our investor’s properties. Our accounts are regularly audited and are held on a secure server.
Create and Distribute Monthly Owner Statements
All property owners will receive monthly financial statements and a record of tenant activity. These can be sent electronically or through standard mail – whatever is the client’s preference.
Manage Security Deposits
A careful record is kept for all security deposits. Deposits are not released back to the tenant until the move-out inspection has been completed and any tenant-inflicted damages have been repaired and paid for. Release of the security deposit is handled in accordance to California laws.
Provide Copies of Maintenance Invoices
In addition to monthly profit and loss statements, each month the property owner will receive a record of all maintenance requests and invoices.
Provide Year-End Records
Year-end financial reports will be provided early in the year. A copy of these records can also be automatically forwarded to a CPA or tax preparer upon request.
Managing Tenant Relations
Responding to tenant problems can be one of the most challenging issues for a homeowner doing self-property management. As your property manager, we will act as the first point of contact for all tenant issues. We’ll respond promptly and professionally, resolve the problem, and keep you informed.
Manage Habitability Issues
In order to protect our property owner’s investment, we carefully manage all habitability and safety issues in accordance with federal, state and local guidelines.
Handle Security Deposit Disputes
All disputes regarding security deposits will be handled in accordance with state laws. All actions regarding the security deposit will be documented.
Issue and Collect Late Fees
Based on the terms of the lease agreement, we will issue late fees in a timely matter and ensure that they are collected.
Send Legal Notices
In the event of a problem tenant, all notices will be handled in compliance with state laws. They are carefully documented. The owner will also be notified in the monthly report.
All evictions will be performed based on California guidelines. Evictions will be handled promptly and on schedule with the aim to reduce costs to the property owner.
Represent Owners in Court
In the event that a property owner is summed to court regarding a property managed by Vision Property Management, we are willing to represent your interests – especially in eviction matters.
